Role Overview
We are seeking an exceptional professional who is passionate about our mission and is excited supporting a rapidly growing global health organization. The Administrative Officer will be part of the internal operations team whose function is to design and develop structures, systems, and processes that enable internal teams to focus and effectively perform their day to day work.

We are looking for a teammate who is excited about performing detailed administrative responsibilities to support teammates in different timezones. You are motivated by seeking and piecing information, organizing, and creating processes and systems that improve efficiency. You have superb interpersonal and social skills, enjoy bringing teammates together to foster strong working relationships. This is a position with high involvement and responsibility that will offer the right candidate an exciting opportunity to participate.

The Administrative Officer will report to the People Operations Manager.

Position Details
Employment Status: Full time
Location: US – East/West Coast preferred

Responsibilities
Administrative Support
All team meetings/workshops scheduling & coordination, including note-taking, and follow-up
Travel planning & coordination: Manage flights & lodging for team members as needed
Team meet-up planning & management: Includes annual full team meet up for 90+ teammates from 33 cities, and 15 countries.
Oversee each phase of events to ensure they run smoothly
HR Admin Support
Organize and maintain files and databases in a confidential manner.
Administration support on recruitment, onboarding, and exit processing.
Coordinate teammate’s compliance training and policy acknowledgment documentation.
Finance Admin Support
Vendor management and procurement including teammates facilitation.
Manage shipping logistics for commodities being ordered from the US to regional hubs.
Support executive leadership with administrative needs and responsibilities.
Office Management
Management of US hubs and coworking spaces
Proactively manage mail, inventory, and collateral for all MM hubs

Qualifications
Bachelor’s degree preferred but not required
2+ years of event planning experience and/or history of coordinating successful events
Ability to work under high pressure, meet deadlines, monitor and follow-up on pending matters with minimal supervision.
Demonstrates patience and solutions-oriented approach to challenges
Prior experience with CRM/ATS systems a plus
Prior experience offering administrative support to executive and senior management teams.
Excellent communication and organization skills and proficiency in creating presentations.
